Flagship - Back Cover

Suffering from stressful deadlines? Plagued with too many things to do? Surrounded by 87 sticky notes crawling into your typing space? Well, here’s your answer: Organization. But don’t run away from the word just yet! While the seemingly harmless word conjures up thoughts of perfectly manicured closets, color coded folders, and plastic storage totes with typed labels, there’s more to it!

These five ways to ‘Organize Your Office’ will aid in your pursuit of a perfected workspace!

Write it Down!
…But you don’t have to buy stock in paper. Writing it down simply means to make a note of it. If you’re like me, relying on memory occasionally (read: usually) results in poor outcomes. Take a notebook with you, jot down notes on your printed slides, or even send yourself an email. But I recommend staying away from multiple, smaller notes; they only add to the clutter!

Go Crazy with Colors
Kindergarten teachers know the ropes – and pull out all the stops. As ‘elementary’ as it may be, color coding is highly effective! Using a color system to categorize documents, meetings, or binders can help you visually assess and process things much faster than taking time to read a label. Personally, I use color coding in my Outlook calendar – a quick glance is all I need to know where I’m headed and for what!

Declutter
While you’re reminding yourself to organize your notes and to dos, decluttering is also a good idea! Endless piles of paper and PowerPoints sitting on a disheveled desk isn’t doing you any favors. As I’ve alluded to in previous blogs, a clean workspace can do wonders. Paper Management tools, like our Voi® Cube, can clear that paper off your desk and transform it into a functional (and attractive!) work zone.

To Do List
There’s nothing like the satisfaction of crossing something off of your To Do List. But in order to feel that satisfaction … you must have a To Do List! Making a list (and checking it twice) will ensure that you complete those important tasks without them falling off your radar. For me, maintaining a list helps me prioritize and keep track of those projects that aren’t knocking on my office door.

Make a Schedule, Set Deadlines
Hustle and bustle at the office may seem like it equates to productivity, but it often does not. If you’re struggling to tread water, take a look at your schedule. Booked 125% of your day? Check if you need to attend every meeting. See a deadline coming up that you might not meet? Book some ‘Me Time’ on your calendar to work away in the closest Flock touchdown station.

Key takeaways? Write it down, colorize, declutter, make a list, and set that schedule! What are some of your tips for organizing at the office?

It takes more than a desk and chair to be productive. Today’s workspaces are designed around multitasking and maximizing every inch of space. This means surrounding yourself with workplace tools that help you do more with less. Storage solutions that help you pile, stake and organize. Technological tools that put everything within arm’s reach, and cord management that keeps it all neatly tucked away. Ample lighting whether working day or night. Options for turning a fixed desk into a sit-to-stand workstation that offers a healthier way to work.

Monitor Arms
Monitor arms help bring the office to the 21st century and free up the shrinking desk space. Being able to raise the monitor off of a worksurface can help reduce eye strain for employees, and create space division from their neighbors in low panel/open plan layouts. View the Monitor Arms cut sheet for more information.

Power Modules
Bring power right to your worksurface with this clamp mount module and avoid crawling under the desk and stretching behind storage pieces to stay connected or charge electronics. View the Power and Cable Management cut sheet for more information.

Articulating Desk Lamp w/ Occupancy Sensor
Because the proper amount of illumination depends both on your vision and on the tasks being performed, overhead lighting may not always be appropriate as a single lighting source and we know natural lighting can be hard to come by. Consider adding this sleek task lamp to individualize lighting and support many different types of work. And don’t worry about leaving it on overnight! The occupancy sensor will turn it off when you have walked away from your desk. View the cut sheet for more information.

Directional™ Desktop Sit-to-Stand
Sit-to-stand desks have proven ergonomic benefits, but not everyone has the budget for or access to one. Consider Directional, a cost effective solution. This table top accessory clamps to an existing desk and can easily be raised and lowered at the press of a lever. Making it easier for workers to adjust monitors to each individual’s ideal placement, Directional can help alleviate eye strain and decrease stress on the shoulders, back and neck. View the Directional spotlight page for more information.

What are some of your favorite tools in the office?

With each season comes new office design inspiration. To add to Tuesday’s blog post, here are 4 more ideas to help you re-energize your workspace this winter:

5. It’s All About the Details

6. Introduce Feng-Shui

Feng-Shui is becoming more and more popular, and for good reasons! It is said to help reduce stress, increase productivity, and enhance creativity. The best part is that it can be easy and affordable to add to any office environment. Try starting with some greenery in common spaces or a small plant on your desk. Ensuring access to natural sunlight is also a great way to embrace this trend. Consider adding café tables and chairs along the perimeter of your office space near windows; 2 great product lines to consider are Arrange™ tables and complementary Accommodate™ seating.

7. Simplify Your Work Area

We’ve all heard the saying “less is more”. To keep things organized and maximize your workspace, HON has several accessories that coordinate with all of our products. Try using monitor arms to create more surface area, along with desktop file centers, credenzas or pedestal storage options to keep everything you need close and easy to access!

8. Add a Personal Touch

It’s important to make time for personal interests and hobbies in addition to your professional passions. Perhaps you don’t get a chance to do this as much in the winter, but don’t be afraid to bring your interests to work.  Adding something as simple as a family picture, trinkets, or a keepsake that shows off your favorite winter sports team can bring a new energy to your office or workstation.

What are some other ways you like to redecorate and re-energize your space during the winter?

Well, the time has come yet again here in the Midwest when we put away the sandals and bring out the sweaters. While many mourn the loss of the hot summer season, I am welcoming the fall breeze with open arms and I know others are as well! There are various transitions to make when moving from any season, but I find the transition into fall to be the most fun (and pretty)!

The first thing I would recommend is cleaning out your desk or workspace. It is helpful to try and do this with the changing of each season to decrease stress and create a more efficient and productive space for yourself. Once your work area is organized, add a little fall décor. Switch up your office furniture by adding warm autumn-colored fabrics or find a fall-themed screensaver for your computer. With Halloween around the corner, consider bringing in some treats to share with your coworkers or try making this mason jar mummy and use it as a pencil holder instead of a candle holder!

Halloween in the office

A new season brings new beginnings and serves as a good reminder to re-visit your goals for the year. Take time to reflect on recent projects and accomplishments. Is there anything you didn’t get to finish? In what areas of your professional life can you continue to grow? Use this time to take on new responsibilities, learn a new skill or dedicate time to that project you’ve been wanting to start. The fall season also reminds us to be thankful, so try sending a note of appreciation to a coworker or special mentor.

In addition to your workspace, don’t forget to de-clutter and re-organize at home. The changing of the season is always a great time to donate anything you may no longer want or use. Remember, one person’s trash is another person’s favorite fall fashion item (at least, I think that’s how the saying goes)!  The benefits of feeling organized outside of work will transfer to the office, too.

Let’s fall into autumn with these few, hopefully helpful, tips to de-clutter both your workspace and personal life. Bring on the pumpkin spiced lattes, bonfires, and football!

When designing a new office or workspace, there are several questions to consider. What size desk do I need? How do I need my furniture to function? What kind of storage should I include? What fabrics or finishes will best fit my design goals? In addition to all of these important elements of office design, I always encourage customers not to forget the accessories! Here are three reasons why.

Many of today’s office design trends are focused on finding ways to encourage movement while people work. As sit-to-stand stations become more popular, monitor arms, power options, and wire management are accessories to consider incorporating. When using a monitor arm in a standing or seated workstation, for example, the user is able to easily maintain an ergonomically-friendly position as she transitions between sitting and standing throughout the workday. If you are using a standing-height desk, worksurface height power can give you power capabilities at your fingertips with a simple power module add-on. All of these accessory options can help create a healthier and more efficient workspace.

Don't forget your standing height power accessories

A second benefit of accessories is the ability to adapt to a smaller work environment. With a smaller footprint comes smaller worksurfaces, but in this case you can maximize your workspace by lifting the computer monitor off with a monitor arm. Not only does this accessory serve as an ergonomic solution, but it provides more room in which to work and promotes productivity!

Leave a smaller footprint with workspace accessories

Clearing out the clutter to create a tidier workspace minimizes distractions and allows workers to focus on the task at hand. By adding paper management, or filing storage solutions, you can instantly clear your space and clear your mind. It’s a bonus if these storage solutions are available in bright, vibrant colors that can add to your office design and keep the space full of energy.

Use workspace accessories for organization

Whether you need to improve ergonomics, maximize space, or increase organization, there are several reasons to take advantage of workplace accessories! Visit the Accessories Spotlight Page on hon.com to learn more.

It seems like there’s an app for everything these days, and sales operations is no exception. Doing a search through your mobile app store will yield dozens of results, from notes organization to order management. Many times these apps end up becoming more cumbersome than helpful, especially for those who are constantly on the road. Below are the top 5 apps I recommend and personally use as a sales professional that have helped me not only stay organized, but also make it easier to not use my car as my filing cabinet:

Top 5 Apps for Every Sales Professional

CamCard
CamCard is an app to which I was recently introduced by a co-worker after complaining about the huge stack of business cards sitting on my desk and lack of time to update my contact list. CamCard allows you to take a photo of a business card and instantly upload the contact information to your smartphone. You can also access all your business cards from anywhere, anytime because they are stored in the cloud and synchronized in real time across your devices and the online app. Ever find yourself at a tradeshow and you forgot to bring business cards? No problem! Not only can you save and retrieve business cards, but you can also join the paperless movement and electronically exchange information when meeting new people. Possibly the best part of this app is that it’s free! Learn more about CamCard here.

Evernote
If you’re anything like me, at the end of a full day your desk and trashcan are full of sticky notes with reminders, to-do lists, and messages. If your car is a traveling office, it can be even worse. Evernote allows you to create a project to-do list, jot down a reminder, or snap a picture of a sketch. As a salesperson constantly on the go, I’m always making notes to follow-up after meetings and other projects. With Evernote, you can organize your notes according to project, account, etc so they’re accessible wherever you go, any time. Have you ever searched your entire car looking for a tiny piece of paper with the phone number of a potential lead? Never again! Evernote also makes it very easy to search for notes, even if they’re handwritten. You can easily share your notes or create a group notebook for co-worker collaboration. The basic plan is free to anyone and there are additional subscription costs for the plus or premium editions. Learn more about Evernote here.

Dragon®
The Dragon Mobile Assistant utilizes Nuance® voice recognition technology to send and receive text messages, post to Facebook and Twitter, email, and much more – all hands-free! With most states banning texting and requiring hands-free devices while driving, it can be difficult to stay on top of your emails, voicemails, and messages while staying safe on the road. Dragon allows you to set reminders, make appointments, and search the internet without looking down at your device. The Attentive Mode allows you to wake-up your “assistant” at any time, even if your phone is locked. The app even automatically detects when you’re in a moving vehicle and will automatically switch to hands-free, eyes-free access. Learn more about the Dragon Mobile Assistant here.

Dropbox
It’s a fact of life in the furniture industry that when working with an architect on a project, you will inevitably run into the issue of a single email taking up most of your inbox space. That’s where Dropbox comes in! Not only does Dropbox free you from the limitations of inbox space, but you can also get access to all your files from anywhere, on any device, and share them with anyone. Even if the person receiving a file you’re sending doesn’t have a Dropbox account, they can still get access to the files through a link. Dropbox is also a great option for backing up important files and collaborating on a presentation with your teammates. When you edit a file in a shared folder, everyone receives an automatic update. Dropbox for individuals is free for the basic option, but you can upgrade to the pro option or options for businesses and teams for an additional charge. Learn more about Dropbox here.

DocScanner®
Have you ever been out on a call and learned from a prospective customer that the plans in front of you are the only copies? What do you do then? This is where DocScanner can save the day! With the DocScanner app, you can take a picture of a document and instantly convert it to a PDF. Now you have the perfect document to email to back to your team to help with specify furniture for your customer’s layout. Not only can you email the document as a PDF, but DocScanner can also feed into your Evernote account as well as integrate with Dropbox. Using this app in connection with your Dropbox and Evernote will ensure you have everything you need on the go and that it’s all safely stored for future use. Learn more about DocScanner here.

Have you tried any of these apps? What other resources do you use to stay organized on the go?
