Well, the time has come yet again here in the Midwest when we put away the sandals and bring out the sweaters. While many mourn the loss of the hot summer season, I am welcoming the fall breeze with open arms and I know others are as well! There are various transitions to make when moving from any season, but I find the transition into fall to be the most fun (and pretty)!

The first thing I would recommend is cleaning out your desk or workspace. It is helpful to try and do this with the changing of each season to decrease stress and create a more efficient and productive space for yourself. Once your work area is organized, add a little fall décor. Switch up your office furniture by adding warm autumn-colored fabrics or find a fall-themed screensaver for your computer. With Halloween around the corner, consider bringing in some treats to share with your coworkers or try making this mason jar mummy and use it as a pencil holder instead of a candle holder!

A new season brings new beginnings and serves as a good reminder to re-visit your goals for the year. Take time to reflect on recent projects and accomplishments. Is there anything you didn’t get to finish? In what areas of your professional life can you continue to grow? Use this time to take on new responsibilities, learn a new skill or dedicate time to that project you’ve been wanting to start. The fall season also reminds us to be thankful, so try sending a note of appreciation to a coworker or special mentor.

In addition to your workspace, don’t forget to de-clutter and re-organize at home. The changing of the season is always a great time to donate anything you may no longer want or use. It seems like there’s an app for everything these days, and sales operations is no exception. Doing a search through your mobile app store will yield dozens of results, from notes organization to order management. Many times these apps end up becoming more cumbersome than helpful, especially for those who are constantly on the road. Below are the top 5 apps I recommend and personally use as a sales professional that have helped me not only stay organized, but also make it easier to not use my car as my filing cabinet:

CamCard
CamCard is an app to which I was recently introduced by a co-worker after complaining about the huge stack of business cards sitting on my desk and lack of time to update my contact list. CamCard allows you to take a photo of a business card and instantly upload the contact information to your smartphone. You can also access all your business cards from anywhere, anytime because they are stored in the cloud and synchronized in real time across your devices and the online app. Ever find yourself at a tradeshow and you forgot to bring business cards? No problem! Not only can you save and retrieve business cards, but you can also join the paperless movement and electronically exchange information when meeting new people. Evernote
If you’re anything like me, at the end of a full day your desk and trashcan are full of sticky notes with reminders, to-do lists, and messages. If your car is a traveling office, it can be even worse. Evernote allows you to create a project to-do list, jot down a reminder, or snap a picture of a sketch. As a salesperson constantly on the go, I’m always making notes to follow-up after meetings and other projects. With Evernote, you can organize your notes according to project, account, etc so they’re accessible wherever you go, any time. Have you ever searched your entire car looking for a tiny piece of paper with the phone number of a potential lead? Never again! Evernote also makes it very easy to search for notes, even if they’re handwritten. You can easily share your notes or create a group notebook for co-worker collaboration. Dragon®
The Dragon Mobile Assistant utilizes Nuance® voice recognition technology to send and receive text messages, post to Facebook and Twitter, email, and much more – all hands-free! With most states banning texting and requiring hands-free devices while driving, it can be difficult to stay on top of your emails, voicemails, and messages while staying safe on the road. Dragon allows you to set reminders, make appointments, and search the internet without looking down at your device. The Attentive Mode allows you to wake-up your “assistant” at any time, even if your phone is locked. Dropbox
It’s a fact of life in the furniture industry that when working with an architect on a project, you will inevitably run into the issue of a single email taking up most of your inbox space. That’s where Dropbox comes in! Not only does Dropbox free you from the limitations of inbox space, but you can also get access to all your files from anywhere, on any device, and share them with anyone. Even if the person receiving a file you’re sending doesn’t have a Dropbox account, they can still get access to the files through a link. Dropbox is also a great option for backing up important files and collaborating on a presentation with your teammates. When you edit a file in a shared folder, everyone receives an automatic update. Dropbox for individuals is free for the basic option, but you can upgrade to the pro option or options for businesses and teams for an additional charge. Learn more about Dropbox here.

DocScanner®
Have you ever been out on a call and learned from a prospective customer that the plans in front of you are the only copies? What do you do then? This is where DocScanner can save the day! With Spring Forward behind us and the first official day of spring right around the corner, an office spring cleaning may be in order! Here are a few tips to help you on your journey:

Declutter!
Can you see your desktop, or is it obscured by the inordinate amounts of sticky notes, papers, and office supplies? If you no longer recall whether your desk is Mocha or Mahogany, it may be time to toss some trash. Anything that’s no longer useful, toss it out. Here, sticky notes are the biggest offender. Try to keep them to a minimum so that it doesn’t look like you’re testing canary yellow as your new office paint.

Scrub-a-Dub-Dub
The good news: If we were ever snowed in at HON, we could survive on my cache of desk snacks. The bad news: my desk sees a plethora of snacks, drinks, and meals on any given day. If you’re like me, this means you need the soap and bubbles more often! Fortunately, HON is well-equipped with cleaning instructions for your laminate desk or your workstation. Make sure to give your workstation a thorough cleaning every week (or more!) to disinfect, dust, and spray.

The ‘Junk Drawer’
As a kid, my parents kept what they affectionately called a ‘junk drawer’. A variety of pens, rubber bands, tools, and nails always ended up calling this drawer home. Today, I have my very own ‘junk drawer’ filled with office supplies, pens, sticky notes, and my well-stocked selection of tea.  What helps here? Dividers and regular cleaning. Inevitably, we all end up with 34 pens and only use one consistently.  Share the wealth and keep it clean!

An old adage of HON many years ago stated that people were divided into two groups: Pilers or Filers. Regardless of which group you fall into, paper management is key! Your Digital Desktop
That’s right– don’t think your virtual desktop is getting away so easily! If you can’t see your desktop background through the maze of desktop icons, it’s time to put those folders to good use. There are plenty of ways to digitally file your records and documents; pick a plan and stick to it. Though it may, at times, feel like Folder-ception, folders can be used within folders – just make sure that your labyrinth can be navigated with an intuitive naming system.
