As we gather the fallen leaves, pick the ripening apples, and overstuff the quintessential bird, we occasionally tend to forget that it’s the season to be thankful. Alas, not this year! Since then, Muscatine has become home to The HON Company where we take a vested interest in upholding our strong community. Whether we’re fundraising for local or national charities with the HNI Charitable Foundation or helping the community in partnering with City of Hope, we strive to make a difference!

Suffering from stressful deadlines? Plagued with too many things to do? Surrounded by 87 sticky notes crawling into your typing space? Well, here’s your answer: Organization. But don’t run away from the word just yet! While the seemingly harmless word conjures up thoughts of perfectly manicured closets, color coded folders, and plastic storage totes with typed labels, there’s more to it!

These five ways to ‘Organize Your Office’ will aid in your pursuit of a perfected workspace!

Write it Down!
…But you don’t have to buy stock in paper. Writing it down simply means to make a note of it. If you’re like me, relying on memory occasionally (read: usually) results in poor outcomes. Take a notebook with you, jot down notes on your printed slides, or even send yourself an email. But I recommend staying away from multiple, smaller notes; they only add to the clutter!

Go Crazy with Colors
Kindergarten teachers know the ropes – and pull out all the stops. As ‘elementary’ as it may be, color coding is highly effective! Using a color system to categorize documents, meetings, or binders can help you visually assess and process things much faster than taking time to read a label. Personally, I use color coding in my Outlook calendar – a quick glance is all I need to know where I’m headed and for what!

Declutter
While you’re reminding yourself to organize your notes and to dos, decluttering is also a good idea! Endless piles of paper and PowerPoints sitting on a disheveled desk isn’t doing you any favors. As I’ve alluded to in previous blogs, a clean workspace can do wonders. Paper Management tools, like our Voi® Cube, can clear that paper off your desk and transform it into a functional (and attractive!) work zone.

To Do List
There’s nothing like the satisfaction of crossing something off of your To Do List. But in order to feel that satisfaction … you must have a To Do List! Making a list (and checking it twice) will ensure that you complete those important tasks without them falling off your radar. For me, maintaining a list helps me prioritize and keep track of those projects that aren’t knocking on my office door.

Make a Schedule, Set Deadlines
Hustle and bustle at the office may seem like it equates to productivity, but it often does not. If you’re struggling to tread water, take a look at your schedule. Booked 125% of your day? Check if you need to attend every meeting. See a deadline coming up that you might not meet? Book some ‘Me Time’ on your calendar to work away in the closest Flock touchdown station.

Key takeaways? Write it down, colorize, declutter, make a list, and set that schedule! What are some of your tips for organizing at the office?

Professionalism, as defined by Merriam-Webster, is “the conduct, aims, or qualities that characterize or mark a profession or a professional person.” While many professional characteristics are unique to the industry in which they apply, some cover all professionals. Check out our short list of qualities below that outline what it means to pursue professionalism:

Build your Personal Brand

What makes you, you? Are you a go-getter who always takes the extra step, or perhaps the dependable coordinator of all things process improvement? Whatever your personal brand is, build this into a recognizable reflection of who you are – thereby establishing your reputation and identity as a business person. Become known for your positivity or forward-thinking – in the long haul, you’ll open up opportunities for yourself for different projects or even a promotion!

Dress for Success

Cliché, I know. But one thing that’s not cliché – a first impression. When meeting someone for the first time, there’s quite a bit to be taken from personal appearance. Paint yourself in a positive light! If you show up to a business meeting in tennis shoes and well-worn jeans, odds are that you might lose that big project to the business professional in a pant suit. When presenting, a common rule is to dress a level above your audience. Pack up those old painting jeans and trade them in for a new suit!

Komm. Comun. Communikation.

Grabs your attention, doesn’t it? A pet peeve of self-proclaimed grammar nerds across the globe, spelling, punctuation, and grammar issues occasionally make a dreaded appearance in professional communication. As with any communication, whether it’s a personal email or company press release, communication is marketing. Every email, every phone call, and every interaction builds an image of you. With this comes an important role: protecting and building your company’s image. When communicating, make sure to be effective, persuasive, and clear. When in doubt, use the five W’s: Who, What, Where, When, Why (and How)!

Quick ways to motivate your employees

Motivation: an idea meaning the general desire to act or accomplish something; an effort to attain a goal. It may seem simple enough, but the idea invariably ends up being an elusive mythical creature at times.

If your search for Big Foot has left you empty handed, here are some helpful hints for motivating your members:

  • Recognition – Give praise to get results! By recognizing a member’s achievements, you can positively influence future behavior. Tell them why they’re being recognized and be genuine about it (nothing’s worse than saying ‘Great Job!’ with a straight face and monotone voice.) Also, give credit where credit is due! Members will always appreciate when a manager takes the time to thank them for their hard work.
  • Rewards – Everyone loves prizes or rewards for a job well done, and while additional compensation based on merit can be a well-received incentive, sometimes no cost is needed at all. Our HON Customer Support team gives out a monthly member-nominated “Golden Caster” award. Though spray painted, the Golden Casters are truly worth their weight in gold. When you visit us here in Muscatine, make sure to keep an eye out for one!
  • Responsibility – Increasing opportunities and expanding a member’s role can increase. Keep members excited by offering new training or project options. Encourage members to take ownership of new tasks or projects. Give them a boost (and help your department’s productivity) by specifying opportunities that play to their strengths. A member who enjoys coming to work is a valuable investment.

The key is finding the right combination to unlock your members’ potential. Motivation doesn’t have to be elusive. After all, the Loch Ness Monster has been motivating people to find him for years!

What motivates you in the office? How do you motivate your coworkers and fellow members?

With Spring Forward behind us and the first official day of spring right around the corner, an office spring cleaning may be in order! Here are a few tips to help you on your journey:

Declutter!
Can you see your desktop, or is it obscured by the inordinate amounts of sticky notes, papers, and office supplies? If you no longer recall whether your desk is Mocha or Mahogany, it may be time to toss some trash. Anything that’s no longer useful, toss it out. Here, sticky notes are the biggest offender. Try to keep them to a minimum so that it doesn’t look like you’re testing canary yellow as your new office paint.

Scrub-a-Dub-Dub
The good news: If we were ever snowed in at HON, we could survive on my cache of desk snacks. The bad news: my desk sees a plethora of snacks, drinks, and meals on any given day. If you’re like me, this means you need the soap and bubbles more often! Fortunately, HON is well-equipped with cleaning instructions for your laminate desk or your workstation. Make sure to give your workstation a thorough cleaning every week (or more!) to disinfect, dust, and spray.

The ‘Junk Drawer’
As a kid, my parents kept what they affectionately called a ‘junk drawer’. A variety of pens, rubber bands, tools, and nails always ended up calling this drawer home. Today, I have my very own ‘junk drawer’ filled with office supplies, pens, sticky notes, and my well-stocked selection of tea.  What helps here? Dividers and regular cleaning. Inevitably, we all end up with 34 pens and only use one consistently.  Share the wealth and keep it clean!

Pilers or Filers
An old adage of HON many years ago stated that people were divided into two groups: Pilers or Filers. Regardless of which group you fall into, paper management is key! One of my favorite paper management features is the Voi® Cube (HLSL1212) – shown below in the color Pool. Not only does it add the final touch to your contemporary workstation, but it’s a functional and effective paper management tool. Once you have one, you’ll never let it go!

Your Digital Desktop
That’s right– don’t think your virtual desktop is getting away so easily! If you can’t see your desktop background through the maze of desktop icons, it’s time to put those folders to good use. There are plenty of ways to digitally file your records and documents; pick a plan and stick to it. Though it may, at times, feel like Folder-ception, folders can be used within folders – just make sure that your labyrinth can be navigated with an intuitive naming system.

Hopefully these tips can help get your corner of the workstation in order – share yours below!
